3. Missed Flights: In the event of a missed flight, it is the traveler's responsibility to contact the airline immediately to arrange for alternative flights. Additional costs incurred due to missed flights, including but not limited to change fees or the purchase of new tickets, are the sole responsibility of the traveler. Additional charges may apply for arranging transfers with less than 30 days' notice or for changes made to the itinerary after the initial arrangement.

4. Late Submissions and Amendments: Flight itineraries provided later than 30 days before the travel departure date may result in limited transfer options and could incur additional costs.   *  30 days or less before departure: 100% of the total trip cost or no refund.

Regarding Airline tickets: if Jones Global Travel booked your tickets, they are 100% non-refundable and subject to individual airline penalties/fees.

Please note group terms may override these terms and conditions. If so, the trip is 100% non-refundable after the final payment date of the group as stipulated.

Note: Certain bookings may be non-refundable or subject to different cancellation fees as per our suppliers' policies. We will make these conditions clear at the time of booking.

2. Cancellation by Jones Global Travel, LLC: We reserve the right to cancel any trip due to insufficient enrollment, Force Majeure, or any circumstances beyond our control. In such an event, we will inform you as soon as possible and provide the following options:

5. Travel Insurance: We strongly recommend purchasing comprehensive travel insurance that covers cancellations, medical expenses, and other potential losses and expenses. Insurance is a safeguard against unforeseen circumstances that may lead to cancellations or disruptions in your travel plans.
CHANGES TO BOOKINGS

1. Client-Requested Changes: If, after your booking has been confirmed, you wish to make any changes to your travel arrangements, please inform us as soon as possible. We will make every effort to accommodate your request, but it is subject to availability and may incur additional charges. Changes may include altering travel dates, destination, accommodation, or transportation methods. The following terms apply:

A change fee of $100 may be charged for each alteration to the original booking, in addition to any increased costs resulting from the change in arrangements.

If changes are made within 30 days of the departure date, higher fees may apply.

Some changes may not be possible due to the terms and conditions of our suppliers. In such cases, the original booking conditions will apply.

2. Name Changes: If you need to change the name on a booking, this may be treated as a cancellation and rebooking, depending on the policies of our suppliers. Name changes are subject to availability and may incur a fee imposed by the supplier.

3. Reduction in Group Size: For group bookings, if the number of participants decreases from the original number booked, cancellation charges may apply for those no longer traveling. The cost per person for the remaining members of the group may also increase as certain fixed costs are divided among fewer travelers.

4. Additions to Group Bookings: Adding additional travelers to your booking is subject to availability and the terms and conditions at the time of the addition. Additional travelers may not necessarily be offered the same price or conditions as the original booking.

5. Transfer of Booking: In certain circumstances, you may be able to transfer your booking to another person if you are unable to travel. This is subject to the approval of our suppliers and may incur a fee. Both the original and new travelers will be responsible for paying any additional costs arising from the transfer.

6. Changes by the Agency: Occasionally, we may need to make changes to your travel arrangements due to circumstances beyond our control. We will inform you of any significant changes as soon as possible. If the change is not acceptable, you will be offered a refund or the option to choose alternative arrangements, subject to availability.

TRAVEL INSURANCE

1. Recommendation: Jones Global Travel, LLC strongly recommends that all clients purchase comprehensive travel insurance before embarking on their trip. Travel insurance is a critical aspect of planning for any journey, offering protection against unforeseen circumstances that could affect your travel plans, health, or belongings.

2. Coverage: We advise that your travel insurance policy includes coverage for, but not limited to, trip cancellation and interruption, loss or theft of personal belongings, medical expenses, emergency evacuation, and repatriation. It's also wise to ensure coverage for any specific activities included in your itinerary that may require additional insurance, such as diving, hiking, or skiing.

Cancel For Any Reason (CFAR) Insurance: CFAR insurance allows travelers to cancel their trip for any reason not listed in the standard cancellation policy and still receive a partial refund, usually around 50% to 75% of the trip cost.  There are some insurers that offer 100% refund of trip costs.  This type of insurance offers the most flexibility, as it covers cancellations for reasons that traditional travel insurance does not, such as fear of traveling due to pandemic outbreaks or simply changing one's mind.

For a Covered Reason Insurance: This type of insurance is more traditional and only covers cancellations for specific reasons listed in the policy, such as serious illness, injury, death in the family, significant weather events that prevent travel, or job loss. Coverage details and the list of covered reasons vary by policy. If the traveler cancels their trip for a reason covered by the policy, they can receive a full refund of the prepaid, non-refundable trip costs.

Both types of insurance provide travelers with peace of mind but differ significantly in flexibility and cost, with CFAR typically being more expensive due to the broader coverage it offers.  The cost of insurance is not refundable once purchased.

3. Responsibility: Please note that obtaining travel insurance is solely the responsibility of the client. The Agency is not qualified to provide insurance advice, nor are we responsible for any expenses or losses you may incur that could have been covered by adequate insurance.

4. Proof of Insurance: For certain trips, especially those involving high-risk activities or destinations, the Agency may require proof of adequate travel insurance as a condition of participation. Failure to provide such proof may result in the cancellation of your booking without a refund.

5. Assistance: While we cannot endorse specific insurance providers, we can provide general information on what to look for in a travel insurance policy. We recommend contacting several providers to compare coverage options and premiums to find a policy that meets your specific needs.

6. Claims: In the event of a claim, you should contact your insurance provider directly. Ensure you keep all documentation related to the claim, including receipts and reports, as these will be necessary to support your case.

RESPONSIBILITIES AND LIABILITIES

1. Agency's Responsibilities: Jones Global Travel, LLC is committed to arranging and providing high-quality travel services by coordinating with reputable suppliers. We are responsible for acting with due care and skill in selecting these suppliers and managing your bookings. Our duty is to ensure that the travel services we arrange for you match the descriptions provided in our marketing materials and communications, subject to the terms and conditions of the individual service providers.

2. Limitation of Liability: While we strive to ensure the smooth operation of all travel arrangements, the Agency cannot be held liable for any direct or indirect loss, damage, illness, injury, or death resulting from any act, omission, or negligence of any third-party suppliers, including but not limited to airlines, hotels, tour operators, and transportation providers, nor for any loss resulting from events beyond our control, such as natural disasters, political unrest, strikes, terrorist activities, or pandemic-related issues.

3. Client's Responsibilities: Clients are responsible for:
* Ensuring that they have all necessary travel documents, such as passports, visas, and vaccination certificates,    and that these documents are valid and in order.
* Complying with the laws and regulations of the countries they visit.
* Informing the Agency of any personal circumstances or needs that may affect their travel arrangements, such as dietary restrictions, mobility issues, or medical conditions.
* Adhering to the terms and conditions of all suppliers involved in their travel arrangements.

4. Travel Documents and Health Requirements: Clients must ensure their travel documents, including passports, visas, and health certificates, are in order and meet the requirements of the countries they are visiting. The Agency will provide general information on these requirements, but it remains the client's responsibility to ensure compliance. We cannot be held responsible for any refusal of entry or deportation due to lack of proper documents or non-compliance with specific country regulations.

5. Insurance: As reiterated in the previous section, clients are strongly advised to take out comprehensive travel insurance to cover unforeseen events. The Agency cannot be held liable for any costs incurred that could have been covered by such insurance.

DOCUMENTATION AND HEALTH REQUIREMENTS

1. Travel Documentation: It is the sole responsibility of each client to ensure they possess all necessary travel documents, including but not limited to a valid passport, visas, and any other documentation required for entry into each destination on their itinerary. Passports must typically be valid for at least six months beyond the date of return travel.

2. Passports: Everyone MUST have a VALID passport to travel internationally (not Passport Card). Failure to comply will result in denial of boarding, no refund, no exceptions (out of the USA). Jones Global Travel is NOT responsible for passports in ANY way. Some destinations require that passports are valid for 6 months from your return date. PASSPORT CARDS ARE NOT VALID FOR TRAVEL INTERNATIONALLY VIA AIR!

Passport Validity: All travelers booking international trips with Jones Global Travel must possess a valid passport at the time of booking and for the duration of their trip. Passports must have an expiry date that extends at least six months beyond the date of return from the trip, unless otherwise specified by the destination country's entry requirements.

Responsibility for Validity: It is the sole responsibility of the traveler to ensure their passport is valid and meets all necessary requirements for the countries they plan to visit, including transit countries. Travelers are also responsible for ensuring that their passport has sufficient blank pages, typically at least two, for stamps and visas.

Consequences of Non-Compliance: Failure to comply with passport, visa, or entry requirements may result in the traveler being denied boarding, entry into the destination country, or deportation. Jones Global Travel cannot be held liable for any costs, losses, or damages incurred due to a traveler's failure to comply with these requirements, including but not limited to missed flights, additional accommodation expenses, or the cost of a new or expedited passport.

Changes in Documentation: Should there be any changes in your passport details (e.g., name changes, renewal) after your booking has been made, it is imperative that you inform Jones Global Travel immediately. Failure to provide updated information may result in travel disruptions or the invalidation of booked travel services.

Loss or Theft of Passport: In the event of loss or theft of your passport while on a trip, it is your responsibility to report the incident immediately to the local police and the nearest embassy or consulate of your country. You should also inform Jones Global Travel as soon as possible to receive assistance in adjusting your travel arrangements, if necessary.

3.  Visa and Entry Requirements: Travelers are responsible for obtaining all necessary visas and meeting any entry requirements for each country they will visit or transit through. This includes, but is not limited to, tourist visas, transit visas, and any health or vaccination certificates required. Jones Global Travel can provide general guidance on visa and entry requirements; however, the ultimate responsibility lies with the traveler to obtain and verify this information and secure all necessary documentation prior to departure.

4. Health and Vaccination Requirements: Clients are also responsible for ensuring they meet any health entry requirements for their destination(s), including but not limited to vaccinations and medical certificates. Again, while the Agency may provide general advice, it is up to each client to ensure they comply with these requirements, which may vary depending on the country and the client's personal health circumstances.

5. Travel Advisories and Warnings: Clients should stay informed about any travel advisories or warnings issued by their government or health authorities related to their destinations. It's important to understand how these advisories may affect your travel insurance coverage and the ability to travel to certain areas.

6. Consequences of Non-Compliance: Failure to obtain all necessary travel documentation or to comply with health requirements can lead to denied boarding, refusal of entry, or deportation. The Agency cannot be held liable for any costs, losses, or damages incurred as a result of such non-compliance, including any costs related to interrupted travel or quarantine.

7. Recommendations for Preparation: We recommend that clients begin the process of checking and obtaining necessary documentation and meeting health requirements well in advance of their departure date to avoid any last-minute complications.

Creating a "Release from Liability" clause is crucial for travel agencies, as it helps limit legal exposure by informing clients of the risks associated with travel and obtaining their agreement not to hold the agency liable for certain incidents or damages that may occur. Below is a generic example of such a clause. It's essential to have this clause—and any legal document or section—reviewed by a legal professional to ensure it meets legal requirements and fully protects your business.

RELEASE FROM LIABILITY

1. Acknowledgment of Risks: The traveler acknowledges that travel, including the travel arrangements made by the Agency, involves inherent risks and dangers including, but not limited to, the risk of illness, injury, death, loss of personal belongings, theft, and changes in travel plans caused by circumstances beyond Jones Global Travel’s control. The traveler voluntarily assumes all risks associated with their travel, whether foreseen or unforeseen.

2. Release from Liability: To the fullest extent permitted by law, the traveler hereby releases the Agency, its officers, employees, agents, and representatives from any and all liability, claims, demands, causes of action, damages, or expenses resulting from any injury, death, loss, or harm to the traveler or their property, or from the traveler’s participation in any travel activity arranged by Jones Global Travel, including those caused by the negligence of Jones Global Travel, LLC or its representatives.

3. Indemnification: The traveler agrees to indemnify and hold harmless the Agency and its representatives from any claims, lawsuits, damages, losses, costs, and expenses, including attorney fees, arising from or related to the traveler’s negligence, wrongful acts, or breach of these terms and conditions.

4. Understanding and Agreement: By agreeing to these terms and conditions, the traveler confirms that they have read and understood this release from liability and indemnification clause, and agree to its terms voluntarily. This agreement is binding upon the traveler, their heirs, executors, administrators, and assigns.

5. Jurisdiction and Governing Law: This release from liability shall be governed by and interpreted in accordance with the laws of the State of Texas in the United States of America, without regard to its conflict of laws principles. Any disputes arising from this agreement or the traveler’s participation in travel arranged by Jones Global Travel, LLC shall be resolved exclusively in the courts of the State of Texas in the United States of America.

Thank you for your business and wherever you go in the world I wish you happy travels,
