HIPAA Privacy Reminder

Cybersecurity Awareness
It is a HIPAA violation and against Woman’s policy for an employee to access the medical records of a spouse, child, coworker, significant other, friend or anyone else through Woman’s EMR unless there is an indisputable need to know the information as part of the employee’s job-related tasks.
The computer software systems at Woman’s Hospital track all access to patient information and is routinely audited. Audits display date, time, employee name, patient name, type of application, and more. Access that appears to be inappropriate is referred to the department management and/or Human Resources for review. If the access is determined to be a breach of patient information, sanctions against the employee will be applied.
Accessing patient information out of concern, curiosity or for any reason other than to perform one’s job duties is strictly prohibited.

Epic Super Users 

Training Starts Today 
Epic training officially began for our Super Users today! Super Users are receiving training early so they can help lead our end users and support them throughout training and go-live. By taking their class early and then repeating it and guiding peers through their classes, they will gain additional exposure and knowledge to help their teams through the changes they will experience at go-live. Super User training will go through November 17 and end user training begins on Nov. 27 and will go through Jan. 26, 2024 – right before our February 1 go-live date!
There are 12 spaces across three campuses being utilized for this training, including all five Conference Rooms on the first floor, the NICU Classroom on the third floor, the Mother Baby Conference Room on the fourth floor, the IS training rooms on the second floor of the Support Services Building and the 5th floor of the main hospital, the Accounting Conference Room and the BAT Center Conference Room at the BAT Center, and the Conference Room at the Woman’s Center for Wellness. Look for directional signage to find your classroom, or view directions on the Epic Adventure website.
Please be aware that classes are taking place in these areas and do not disturb or distract trainees while class is in progress. 
The deadline for managers to register staff for training was Friday, October 20, but there are still some employees who are not fully registered for classroom training and/or readiness activities. Please talk to your manager if you are unsure of your training requirements or schedule.

National Drug Take Back Day at Woman's

Prevent drug abuse by turning in unused or expired medications.
Now is the time to clean out your cabinets and bag up those unwanted medications. Everyone is invited to turn in unused or expired medications for safe disposal at the Drug Enforcement Administration’s (DEA) prescription drug “take-back day” at Woman’s Hospital on Saturday, Oct. 28, from 10 AM to 2 PM at the Main Hospital Entrance 1.
A majority of abused prescription drugs are obtained from family and friends, often from the home medicine cabinet. The DEA’s Take-Back Day allows the community to prevent drug addiction and overdose deaths.

Baby Grand Volunteers

Baby Grand is back on Saturday, Nov. 4, at the Renaissance Baton Rouge Hotel.
Volunteers are needed to help with the event setup, takedown, registration, giveaways, vendor and attendee assistance from 7:30 AM-1:00 PM. All employees are eligible to volunteer and this event qualifies for Career Ladder points. 

Award-Winning Entree

Join us in the Woman's Way Cafe on Wednesday, Oct. 25, for Chef Paul Roberts' award-winning entree - Island Flambeau Honey Shrimp. 
Chef Paul was recently awarded a top prize in a culinary contest with Cura Hospitality for the same dish. Employees will have the opportunity to purchase the entree off the live cooking station during lunch hours in the Woman's Way Cafe.

Workplace Safety 

Let us know what you think about the Security Program at Woman's
The safety of our employees, patients and everyone on our campuses is a top priority of Woman's Hospital. As part of our Workplace Violence Plan at Woman's, we have a great responsibility to continue to evaluate and improve safety on campus and it's one we take seriously.
As such, we are asking all employees to complete the anonymous survey linked below about workplace safety. The survey, which takes approximately five minutes to complete, will be used to highlight our strengths and identify any weaknesses in our current security program at Woman's.

Respiratory therapists diagnose, manage and work to control illnesses affecting the lungs. Healthcare Facilities and Engineering Week
Did you know that Woman's has 1,157 smoke detectors, 9,900 sprinkler heads, 1,900 medical gas outlets and 1,151 air filters - all of which are just a few examples of things that are overseen by the team in Facilities Management. This team makes up a valuable part of Woman’s Hospital by keeping our physical environment running safely and smoothly. They stay up-to-date on the latest developments and cost-saving trends, and they ensure that our hospital is a safe place for our patients. Thank you for all that you do for Woman’s!

2024 Open Enrollment

Open Enrollment will be held Nov. 1-17, 2023, with most enrollments and changes taking effect on Jan. 1, 2024.
This year, the Benefits Fair will be held in the Atrium Garden area located on the second floor of the Woman's Cancer Pavilion. Employees will have the opportunity to meet with the Benefits Team and insurance carriers. In addition, the Benefits Team and other members of Human Resources (HR) will be on-site to help answer any benefit-related questions and help employees with their 2024 Open Enrollment elections.

In the next few weeks, employees should receive information about the 2024 plan changes through email, intranet and direct mail. If your mailing address has changed, even if it's temporary, make sure you update your address in ESS
Healthy Merits
Each fall, employees enrolled in the Woman’s Hospital Health Plan have the opportunity to qualify for participation in the Healthy Merits wellness program for the following year. Healthy Merits participants are eligible to receive cash incentives of up to $250 per year and a $10 per pay period discount on health premiums for 2024.
To participate in 2024, employees must complete the following:
  • An online health assessment, called Age Gage, is located on the Healthy Merits website.
    • If you're new to Health Merits, click here for registration instructions.
  • A biometric screening with eHealth including fasting blood work. Blood draws will be held on-site from Oct. 30-Nov. 17.

    • eHealth will provide participants with a Comprehensive Blood Panel. 
    • Walk-ins may not be accommodated so we recommend you schedule your biometric screening now.
Note: For the 2025 plan year, a preventative exam will once again be a part of the requirements in addition to Age Gage and biometric screening.
Incentive Checks
If you are eligible to receive a Healthy Merits incentive check for the 2023 year, those checks will be available for pick-up at the Benefits Fair on Nov. 8-9. All unclaimed checks will be sent to HR for employee pick-up after the Benefits Fair.
